About the role:
the Office Manager will provide comprehensive support to the Executive Director and staff, encompassing arts programming, exhibitions, communications, finance, hospitality, human resources, bookkeeping, and customer service.
Key Responsibilities Include:
* Exhibition & Publication Support: Collaborate with the director on all exhibition logistics, from artist liaison and travel arrangements to coordinating printed materials and securing photography rights. This includes assisting with the creation and editing of exhibition catalogues and maintaining the exhibition archive.
* Program Coordination: Manage logistical details for events, arrange travel for visiting speakers and artists, and oversee the bi-monthly distribution of program calendars to members.
* Membership & Hospitality: Assist with maintaining the member database, coordinating communications, and facilitating committee meetings (scheduling, A/V, minute-taking). Manage reservations for member programs and dining, and contribute to menu creation.
* Office Governance: Serve as a welcoming point of contact for members and the public, manage office supplies, process payroll, handle mailings, and maintain organized filing systems.
* Marketing & IT Support: Provide basic tech support,maintain and update the organization’s WordPress website,manage press clippings,and facilitate the sale of merchandise.
Qualifications:
* Bachelor’s degree in Arts Administration, Art History, or a related field preferred.
* Experience working within an arts-related organization is highly desirable.
* Excellent written and verbal interaction skills, including the ability to draft and edit professional correspondence.
* Strong organizational skills and the ability to prioritize tasks effectively.
* Proficiency in Microsoft Word and Excel is required. Familiarity with WordPress, Photoshop, and InDesign is a plus.
* Knowledge of Jonas software is a desired asset.
