Polish Sole Proprietorships Face Invoice โขRevolution with KSEF Rollout
Warsaw, poland – A sweeping overhaul of invoicingโ practices is onโค the horizon for โฃPoland’s Jednoosobowa Dziaลalnoลฤ Gospodarcza (JDG), or sole proprietorships, as the โMinistry of Finance prepares to implement the Krajowy System e-Faktur (KSEF) – โthe Nationalโ e-Invoicing โขSystem. whileโ currently optional, KSEF will become mandatory, fundamentally changing how millions of โsmall businesses manage their finances and interact with the tax authorities.
The โขshiftโ to KSEF โขpromises significant benefits, most notably a reduction in VAT refund times from 60 to 40 days. This accelerated process, alongside enhanced security features and streamlined tax audits, is intended โคto modernize Poland’s taxโ system and reduce administrative burdens. Though, the transition presents challenges, primarily requiringโ JDG owners toโฃ adapt to aโ new digital workflow and perhaps invest in new software โคsolutions. Entrepreneurs โwill have โa choiceโค between a free request provided by โขthe Ministry of finance or commercially available accounting programs adapted for โKSEF.
KSEF โoffers increased security,โ ensuring invoices are securelyโ stored and readily available for audits. The system also โคautomates invoice delivery to recipients,eliminating the need for traditional postal mail.Despite these advantages, a key hurdle will be adapting to a standardizedโ system, moving awayโข from commonly used tools like Wordโค and Excel.
To โฃaddressโค potential disruptions, the Ministryโ ofโข Finance is developing anโฃ “offline24” mode, allowing invoicesโ to be issued evenโข without an immediate internet โขconnection, withโ a one-business-day deadline for submission. This feature will enable entrepreneurs to visualizeโ and share invoices with โcontractors promptly, even before receiving a KSEFโ identification number.
“The change for JDG has a mental dimension,” notes Piotr Juszczyk, main tax advisorโค at Infakt.โค “Many entrepreneurs conducting โคsole proprietary activities have treated invoicing as a simple activity, often performedโค in the simplest programs. from 2026 it โwill be a process digital, regulated andโค supervised online.” โ
