Event & Administrative Assistant – Join the Heilbronn Marketing team!
Are you a highly organized and communicative individual with a passion for events? heilbronn Marketing GmbH is seeking a dedicated Event & Administrative Assistant to strengthen our team and contribute to the success of our diverse portfolio of venues and initiatives.
About the Role:
This is a full-time (39 hours/week) permanent position offering a dynamic and varied workload. you will be a key support to both the commercial management of our event spaces and the sales efforts of the Convention Bureau.
Key Responsibilities:
* Provide thorough administrative and organizational support for daily operations, including preparing quotes, contracts, and invoices.
* Manage incoming calls and correspondence, ensuring professional and efficient communication.
* Handle cash register operations and reconcile cloakroom revenue.
* Assist with project management for a range of events, including trade fairs, workshops, and internal company gatherings.
* Support the commercial management of our event venues and the sales team of the Convention Bureau.
What We’re Looking For:
* Completed vocational training as a hotel clerk, event planner, office administrator, or a comparable commercial qualification.
* Proficiency in Microsoft Office Suite.Experience with event management software (BpEvent is a plus) and knowledge of the Meeting Place Ordinance (VStättVO) are highly desirable.
* Excellent communication skills in both German and English, with additional language skills considered a benefit.
* A structured and detail-oriented approach to work, combined with a collaborative team spirit.
* Flexibility and a willingness to work outside of standard business hours as needed.
